Welcome to cirQQles

What does this article cover?

This article explains how admins can build and maintain their cirQQle’s AI Library in cirQQle Manager. It covers where to find the AI Library, what information to add, and how the AI Library improves content creation, automation, and personalization.

 What Is the AI Library?

The AI Library is the foundation that powers everything your cirQQle does, acting as the central source of truth for the business. During setup, admins populate it with structured information such as website and about-page details, products and services, pricing, target audience, competitors, brand values, tone, policies, and operational details. This information “teaches” the cirQQle how the business thinks, speaks, and operates, ensuring that all AI-generated content is accurate, consistent, and aligned with the brand across every channel.

To streamline setup, customers can use an external AI tool (ChatGPT, Copilot, Gemini, etc.) with the recommended AI Library prompt to generate clean, paragraph-based responses for each Library field. The prompt covers 21 key areas—including business description and mission, market positioning, unique value propositions, marketing messaging, FAQs, and staff information—making it easy to copy and paste content directly into the AI Library fields inside the cirQQle. After the main fields are complete, admins should refine behavior in Business Description and Mission → AI Instructions (Optional) by adding guidance such as Stay on ThemeTone & StyleContent Guidance, and Boundaries, giving the AI clear direction on voice, priorities, and limits.

Q-Pilot directly relies on the AI Library when generating posts and campaigns. When an admin requests content, Q-Pilot pulls from the Library to determine what services to highlight, which audience to speak to, how to position the business against competitors, and what tone and brand voice to use. It also respects the custom AI Instructions to stay on-message and within defined guardrails. Because Q-Pilot’s output is only as strong as the information it’s trained on, admins should update the AI Library regularly as offerings, promotions, or brand direction evolve—keeping posts relevant, compliant, and consistently on-brand as the business grows.

Steps for Using the “Populate My AI Library” Feature

Step 1: Understand the role of the AI Library and gather inputs
The AI Library is the intelligence layer that powers Q-Pilot, CirQulate campaigns, automated replies, and all AI-generated content inside a cirQQle. According to the AI Library Help Guide, the quality of outputs depends entirely on the quality and completeness of the information entered. Before starting, gather key business details such as your website and the about page, services or products, pricing approach, target audience, competitors, brand values, tone, policies, FAQs, and staff information. Many admins begin by using an external AI tool to generate well-written content they can reference or paste during setup.

Step 2: Use the recommended AI Library prompt to generate content
Customers can use the following prompt in an external AI tool (ChatGPT, Copilot, Gemini, etc.) to quickly generate clean, paragraph-based responses for their AI Library fields:

Recommended AI LIBRARY PROMPT:
“Please answer the following questions regarding the company I will provide you with at the end of this prompt. The responses should be in paragraph form without resource links or other notes so that I can easily copy and paste the information directly into a separate form I am filling in to answer the questions.  Here are the questions that I will need answered:

1.      Website URL and About Page URL/Information

2.      Business Description and Mission

3.      Product Service/Catalog

4.      Pricing Information

5.      Target Audience and Demographics

6.      Competitor Websites

7.      Competitive Analysis

8.      Market Positioning

9.      Unique Value Propositions

10.   Sales Documents and Brochures

11.   Brand Guidelines and Voice

12.   Marketing Messaging

13.   Promotional Strategies

14.   Customer Testimonials

15.   Frequently Asked Questions

16.   Customer Service Policies

17.   Return/Refund Policies

18.   Business Hours and Locations

19.   Contact Information

20.   Staff Information

21.   Special Services/Features

The following is the company name along with the website, social media pages, and any other information I can think of to ensure you identify the business correctly:”

Once all the answers generated from the prompt above have been copy/pasted into the customer’s AI Library fields inside their cirQQle, it is recommended to go back to 2. Business Description and Mission and go into the “AI Instructions (Optional)” section. Here, the customer can create a few extra sections—Stay on Theme, Tone & Style, Content Guidance, and Boundaries. These sections let the customer provide their own preferences so their cirQQle’s AI knows exactly how to create content that matches their voice and guidelines.

For easy understanding, a step-by-step video walkthrough is attached to visually guide you through the process.
