How to create a recurring Email or SMS Campaign?

Recurring campaigns allow you to automatically send email or SMS messages on a repeating schedule, such as weekly updates, monthly reminders, or ongoing promotions. In cirQulate, recurring campaigns save time, ensure consistency, and help you stay connected with your audience without rebuilding campaigns each time.

This article explains how to create, schedule, and manage recurring email and SMS campaigns. Recurring campaigns allow you to automatically send email or SMS messages on a repeat schedule, such as weekly updates, monthly reminders, or ongoing promotions. What Is a Recurring Campaign?

A recurring campaign is a message that is sent automatically at regular intervals. Instead of creating a new campaign each time, you define the message once and set a schedule.

Common use cases include:

  • Weekly newsletters

  • Monthly promotions

  • Appointment reminders

  • Regular announcements or updates


Before You Begin

Make sure the following setup steps are complete:

  • At least one Category is created

  • Campaign Types are configured

  • An Email or SMS Template is available

  • (For email) An Email Footer is created

These items are required to send campaigns in cirQulate.
(Please note, if any of these items are missing, cirQulate will prompt you to complete them before sending.)


Step 1: Create a New Campaign

  1. Log in to cirQQle Manager at manage.cirqqles.com

  2. Open cirQulate from the left menu as shown in the figure below.

  3. Click Campaigns from the left menu as shown in the fig;
  4. Select New Email Campaign to create Email campaign or if you want to set SMS campaign, select New SMS Campaign.

Step 2: Configure Campaign Details

On the campaign setup screen:

  • Enter a Campaign Name

  • Select a Campaign Type

  • Choose the Sender Name
    (For email, select the reply email address)

  • Select the Template you want to use

  • (Email only) Select the Footer

  • Choose the Category of contacts to receive the campaign

  • Select Folder

These settings define who receives the campaign and how it appears.


Step 3: Set the Campaign to Recurring

When selecting the send options:

  1. Choose Schedule instead of Send Now

  2. Enable Recurring Schedule

  3. Select how often the campaign should repeat:

    • Daily

    • Weekly

    • Monthly

  4. Choose the start date and time

  5. (Optional) Set an end date or allow the campaign to continue indefinitely

Once enabled, click Create Recurring Campaign. cirQulate will automatically send the campaign based on the schedule you set.


Step 4: Test Before Activating

Testing is strongly recommended before launching a recurring campaign.

  • Send a test message to yourself or a small group

  • Confirm formatting, spacing, and readability

  • Check links, buttons, and images

  • Review mobile display for both email and SMS

Testing helps prevent repeated errors in ongoing campaigns.


Managing Recurring Campaigns

You can manage recurring campaigns at any time:

  • Edit content or templates

  • Pause or stop the recurring schedule

  • Update recipient categories

  • Adjust timing or frequency

All changes will apply to future sends.


Tracking Performance

To review how your recurring campaign performs:

  1. Open Analytics

  2. Select the campaign

  3. Review metrics such as:

    • Delivered

    • Opened (Email)

    • Clicked

    • Engagement trends over time

Analytics help you optimize timing, content, and frequency.

Recurring campaigns work best when they feel helpful rather than automated.

  • Keep recurring content relevant and timely

  • Avoid sending too frequently

  • Update templates periodically

  • Monitor performance regularly

  • Pause campaigns if engagement declines
